AI receptionist for small business: how Rhomn Systems works

An AI receptionist for a small business answers every call and message on the number and channels you already use, books the customer into your real diary, reminds them before the visit and asks for the review afterwards. Rhomn Systems is the one we build and run for clinics, salons, trades and hotels. This is how it works, what it refuses to do, and when it is worth paying for.

Most small businesses do not lose customers on price. They lose them in the gaps: the call during a procedure, the Instagram message during a haircut, the booking enquiry at midnight in a language nobody checks. Rhomn Systems is one system built to close those gaps, from the first call to the review.

Below is the whole thing, with recordings from the live demo, the tools it plugs into and the rules it runs by.

Where small businesses lose customers

The same moment repeats in every trade we work with. The customer is ready, the owner is busy, and the next business picks up first.

What a missed call costsThe cost of a missed call is not the call itself. It is where that customer went next. A returning customer waits; a first-time caller rings the next number.

What an AI receptionist is, and what it is not

It is not a chat bubble on your website. It answers on your own phone number, WhatsApp, Instagram and Telegram, from your own prices, hours and diary, and it hands anything unusual to you. It also has limits written into it.

  • It does not guess a price. If you did not give it a price, it does not invent one.
  • It does not book a slot that does not exist. It reads your real diary and only offers what is free.
  • It does not pretend to be a person. If a customer asks directly, it says what it is.
  • It does not decide the hard cases. Complaints and judgement calls go to you with the whole conversation attached.

The four jobs it does

Every business gets the same four stages. Each one works on its own, so the first can go live before the rest are built.

01Answer · they reach youA call, a WhatsApp, an Instagram message, an ad form. Every one is answered in seconds, in your voice, from your own prices and hours. A missed call gets a text back before they ring the next number.
02Book · they get bookedIt offers a slot from your real diary and books it. The entry is in your calendar before the conversation ends, with the transcript attached. Google Calendar and Cal.com both work.
03Remind · they show upA reminder with a one-tap confirmation, and any slot that frees up is offered to the people already waiting. Reminders go out on the channel the customer booked on.
04Ask · they come backEvery customer is asked for a Google review at the moment they are happiest, the same way every time. Replies to reviews are drafted for you to approve.

It fits into the tools you already have

Nothing moves and nothing gets replaced. The system sits between the places customers reach you and the tools you already work in.

The four stages are what every business gets. Everything behind them, like chasing a payment or collecting documents before an appointment, is built to order for your business.

Hotels: answered at night, in the guest’s language

For apartments and hotels, the system answers from your own rooms, rates and house rules, holds the booking and sends the deposit link. Guest questions are answered in their own language, day or night.

Why it is safe to hand over

  • It answers only from what you gave it. Your services, prices, hours and rules. Anything outside that, it says a person will call back.
  • You can read every conversation. Nothing happens where you cannot see it.
  • You keep your tools. Your phone number, WhatsApp, Instagram, diary and email stay as they are, and the system can be switched off in a day.
  • You own it. The number, the conversations, the diary and the data are yours. If you ever want to take it in-house, we hand it over with the documentation.
  • It asks every customer for a review. It does not filter out unhappy customers first. Google prohibits that practice, and the penalty is removed reviews.

An AI receptionist, a person, or the free WhatsApp app

The honest comparison is not a machine against a person. The system takes the repeatable half of the job, and a person keeps the part that needs judgement.

If you get a handful of messages a day, the free app with quick replies is genuinely enough. The system starts to pay when enquiries arrive faster than anyone can pick them up.

How we build it

  1. 1A thirty-minute meetingYou tell us where customers fall through. If a system will not pay for itself, we say so in that meeting.
  2. 2Designed around youYour prices, hours, diary and tone of voice. We write down every path an enquiry can take and what must reach a person.
  3. 3Built in stagesThe first stage is usually live within about two weeks of the meeting. Later stages follow, and each one works on its own.
  4. 4We run itWatched, fixed and changed as your business changes: new prices, new hours, the next season.

The four steps, as shown on systems.rhomn.com.

What you need to prepare

An hour of your time and the things you would tell a new receptionist on day one. Usually one conversation and a photo of the price list.

  • Services, in the words your customers use.
  • Prices, as a customer would be told them on the phone.
  • Hours and availability: days closed, how long each service takes, gaps between appointments, who does what.
  • The questions you answer again and again: parking, children, what to bring.

When it is not worth it

  • You are not missing enquiries. Then there is nothing to recover.
  • Every price needs you to see the job first. The answering half is worth much less.
  • You get a few enquiries a week. The free tools are enough, and anyone who says otherwise at that volume is selling rather than advising.
Two numbers decide itHow many new enquiries went unanswered last week, and what one of them is worth to you.

What it costs

Our AI systems start from 2,000 euros for one system working from your own information, one channel and the booking connection. The price rises with the number of tools it connects to, how strict the rules need to be, and whether it answers voice calls. Running it afterwards is a monthly arrangement. You leave the first meeting with a scope, a price and a start date.

Questions owners ask

What if it says something wrong to a customer?

It only answers from what you gave it: your services, prices, hours and rules. Anything outside that, it says a person will call back and hands the conversation to you with everything gathered so far.

Do I have to change the tools I use?

No. It works with the phone number, WhatsApp, Instagram, diary and email you already have, and it can be switched off in a day.

How long until it is running?

The first stage is usually live within about two weeks of the meeting.

Will customers know it is not a person?

If they ask directly, it tells them. It does not pretend to be a person.

Does it answer in other languages?

Yes. Guests and customers are answered in the language they write in, from the same prices and rules.

Who owns it?

You do: the number, the conversations, the diary and the data. If you want to take it in-house, we hand it over with the documentation.
